TERMS & CONDITIONS

These Terms and Conditions form the basis of the contract between Hire It Furniture Ltd (“Hire It”) and the Client.
Confirmation of an order, payment, or provision of a Purchase Order constitutes acceptance of these Terms.

1. Definitions

 The Company: Hire It Furniture Ltd, trading as Hire It
The Client: Any company or organisation entering into a contract with Hire It
The Goods: All furniture, equipment, and associated items supplied
The Services: Delivery, installation, derig, collection, and associated logistics
The Contract: Any agreement for the provision of Goods and Services
Hire Period: The agreed period between delivery and collection

2. Quotations, Booking & Payment

Quotations
All quotations are valid for 7 days and subject to availability. Hire It reserves the right to amend or withdraw any quotation prior to confirmation.

Booking Confirmation
Stock and services are only reserved once an order is confirmed and the required payment has been received.

Payment Terms
Full payment in cleared funds is required prior to delivery or collection unless approved credit terms are in place.

Credit Accounts
Approved clients may operate on 30-day terms. Hire It reserves the right to amend or withdraw credit facilities at any time.

Late Payment
Overdue balances may incur interest at 2.5% above the Bank of England base rate.

3. Damage Deposit & Waiver

Damage Deposit
A refundable damage deposit of 30% of the hire value is required at order stage.

Purchase Orders
Where a valid Purchase Order is issued, a 20% payment is required to secure the booking.

Deposit Return
Deposits are returned within 14 to 30 days following inspection of Goods. Deductions may be made for damage, loss, or additional charges.

Damage Waiver
A non-refundable 5% damage waiver applies to all orders. This covers standard cleaning and fair wear. It does not cover loss, misuse, or significant damage.

4. Cancellation & Postponement

All cancellations must be confirmed in writing.

Standard Bookings
More than 14 days before delivery: 25% charge
Within 14 days: 50% charge
Within 7 days: 100% charge

Large Scale Bookings (£20,000+)
Within 90 days: 55% charge
Within 60 days: 100% charge

Postponements
Credit notes may be issued at Hire It’s discretion and are valid for 12 months.

5. WTF Service Models

Hire It operates under a structured service approach known as the WTF Service Models.
The selected model will be confirmed within the quotation and forms part of the Contract.

WTF Signature

A fully managed delivery and installation service including delivery, placement, standard installation, and collection.
Suitable for straightforward installs with clear access and defined scope.

 

WTF D2F (Door to Floor)

A streamlined delivery service with controlled placement.

Includes:

  • Delivery to site
  • Placement of Goods to kerbside
  • No installation, styling, or build included
  • Collection Service post-event by Hire it Crew

Designed for straightforward access environments where Goods are required in position but do not require full installation.

Any additional handling, installation, stairs, complex access, or extended time on site will be treated as a scope adjustment and charged accordingly.

WTF Elite

An enhanced service for complex or high-specification events.
Includes increased planning, extended installation time, and additional crew allocation where required.

WTF DIY

A self-managed collection service from the Hire It warehouse.
No delivery, installation, or on-site support is included.

WTF Flex

A responsive service designed for evolving event requirements.

Includes:

  • Flexible crew and vehicle allocation based on real-time needs
  • Ability to scale resource during installation and derig
  • Adaptation to site conditions, access challenges, and programme changes

WTF Flex is designed for projects where scope, timing, or logistics may shift.

Additional crew, time, vehicles, or resources applied beyond the planned scope will be charged accordingly.

6. Service, Delivery & Site Conditions

All quotations include a service model aligned to the operational requirements of the event.

Access & Parking
The Client must provide suitable access and legal parking. Any associated costs, fines, or delays will be charged.

Site Conditions
Restricted access, stairs, long distances, or non-standard installation conditions may result in additional charges.

Waiting Time & Delays
Delays to agreed access times may result in additional crew and vehicle charges.

Collection Readiness
Goods must be accessible and ready for collection. Additional handling or derig outside agreed scope may be charged.

Client Presence
A Client representative must be present on site. In their absence, Hire It’s record of delivery and collection will be final.

7. WTF DIY Collection & Return

WTF DIY is subject to prior approval by Hire It.

Full payment and a 50% refundable damage deposit are required before any Goods are released.

The Client assumes full responsibility for the Goods from the point of collection through to return.

Client Responsibilities

  • Providing suitable transport
  • Ensuring safe loading and securing of Goods
  • Accepting condition and quantity at collection
  • Returning all items clean, dry, and in original condition

Hire It reserves the right to refuse release where conditions are not suitable.

Any damage, loss, or additional handling required upon return will be charged.

8. Resource, Timing & Scope Adjustments

Crew and vehicle allocations are based on the agreed scope of works and selected WTF Service Model.

Where additional resource is required due to:

  • Changes to scope
  • Site conditions or access restrictions
  • Delays or extended timelines
  • Client or third-party adjustments

Hire It reserves the right to allocate additional crew, vehicles, or time to deliver the service safely and effectively.

All additional resources will be charged accordingly.

Out of Hours
Work outside standard operating hours may be subject to premium rates.

Hospitality & Welfare
For extended installations, appropriate crew provisions are expected.

Accommodation
For distance-based or late-running events, accommodation will be agreed in advance.

9. Damage, Loss & Liability

The Client is responsible for all Goods from delivery through to collection.

Damage & Loss
Repairable damage will be charged accordingly.
Irreparable damage or loss will be charged at full replacement value.

Care of Goods
Goods must be stored securely, protected from weather, and returned in appropriate condition.

Liability
Hire It’s liability is limited to the value of the contract.
Hire It is not responsible for indirect loss, including event disruption or loss of revenue.

Force Majeure
Hire It is not liable for failure or delay caused by events beyond its control.

10. Venue & Third-Party Conditions

Where events take place within third-party venues:

  • Venue rules and restrictions apply
  • Hire It will operate within venue requirements
  • The Client remains responsible for venue compliance

Any additional costs, restrictions, or penalties imposed by the venue will be passed to the Client.

Hire It is not responsible for delays caused by venue access, restrictions, or operational limitations.

11. Ownership

All Goods remain the property of Hire It at all times.
Hire It reserves the right to access and recover its property where required.
